Privacy Policy

Xentris LLC, a Delaware limited liability company ("Xentris", "we"), builds custom automations, AI agents, cloud business intelligence, AI training and organic growth systems for businesses. This policy explains what personal information we collect through this website and our WhatsApp assistant, why, whom we share it with, and your rights.

1. Information we collect

• Qualification form and booking: your name, business e-mail, company, company size, the service you are interested in, the process you want to improve, an approximate project budget range, your timeline and, optionally, your WhatsApp number. When you book a call we also store the date and time you chose.
• WhatsApp assistant: the messages you send us, including voice notes, and the answers you give to the same qualification questions.
• Usage and device data: IP address, browser type, pages viewed and the link that brought you (for example an ad, an e-mail or a social post), collected through cookies and similar technologies.
• Advertising identifiers: Meta Pixel, Google tag, LinkedIn Insight Tag and TikTok Pixel cookie IDs and click identifiers (`fbclid`, `gclid`, `li_fat_id`, `ttclid`), subject to Section 3.

2. How and why we use it

• To decide whether we can help you, and to schedule and prepare your free diagnostic call.
• To send you the booking confirmation, reminders and, if you agree, follow-up e-mails about our services. WhatsApp messages are sent only if you tick the WhatsApp box or write to us first.
• To prepare and send a proposal if you ask for one.
• To measure and improve our website and advertising (Section 3).
• To comply with legal obligations and prevent fraud.

We do not use your information to make automated decisions with legal or similarly significant effects. Our qualification questions only help us decide which call slot and which team member fit your request.

3. Cookies, pixels and your choices

We count visits with our own first-party counter (a random visitor ID; not sold or shared). Advertising pixels set cookies to measure conversions such as "Lead" and "Schedule" and to show relevant ads.

• United Kingdom, Canada and the EU/EEA: pixels load only after you click "Accept".
• United States and other countries: pixels load when you visit unless you opt out with the button below or the "Do Not Sell or Share My Personal Information" link at the bottom of every page. We honour Global Privacy Control signals as an opt-out.

Necessary cookies (site function and remembering your choice) do not require consent.

4. Whom we share information with

Service providers under contract: Vercel (hosting and our own contact database), Google (Google Calendar and Google Meet for your booking), Hostinger (e-mail sent from hello@xentris.tech), Meta (WhatsApp messaging), the AI provider that powers our WhatsApp assistant, and the advertising platforms in Section 3. We do not sell your personal information for money. Sharing with advertising platforms for cross-context behavioural advertising may be "sharing" under the CPRA; you can opt out as described in Section 3.

5. Your rights

If you live in California, Virginia, Colorado, Connecticut, Utah, Texas, Oregon or another state with a consumer privacy law, you can ask to know, access, correct, delete or receive a copy of your personal information, and opt out of its "sale" or "sharing" for targeted advertising. E-mail hello@xentris.tech. We answer within 45 days and will not treat you differently for exercising a right.

6. E-mail and WhatsApp

Every e-mail identifies Xentris LLC, includes our postal address and a one-click unsubscribe link. On WhatsApp, reply STOP at any time and we will stop messaging you the same day.

7. Our WhatsApp assistant

Our WhatsApp assistant is an automated AI system, and it says so in its first message. Type "human" at any time to talk to a person.

8. Calls

Diagnostic calls are not recorded unless you agree at the start of the call.

9. Retention

We keep lead and booking data for up to 24 months after our last contact with you, and client records as long as tax and accounting rules require (generally up to 7 years). Afterwards we delete or anonymise them.

10. Security

We use reasonable administrative, technical and organisational measures. No method of transmission or storage is 100% secure.

11. Children

Our services are for businesses and adults (18+). We do not knowingly collect information from anyone under 18.

12. International users

Our providers process data in the United States. If you access this site from another country, your information is transferred to and processed in the US under the safeguards those providers offer.

13. Changes and contact

We may update this policy; the current version is posted here with its date.
